Clicking on any transaction opens the transaction detail view, where you can review everything about that transaction and add the information needed for accounting.
Transaction summary
At the top of the detail view you'll find the merchant logo, the total amount (including VAT where applicable), the merchant name, and the transaction and booking dates. If the transaction has already been exported, you'll also see an Exported confirmation with the export date.
Transaction details
This section shows the core facts about the transaction:
Merchant – who the payment was made to.
Card – which card was used, including its last four digits.
Note – an optional free-text comment you can add for context.
Adding a comment
Any user can add a comment to a transaction via the web or mobile app — there's no restriction based on role or permission. To make sure comments are meaningful, they must be between 3 and 200 characters long.
When the transaction is exported, the comment is included in the accounting export, though exactly how it's processed depends on which accounting system you're exporting to.
Receipt
If a receipt has already been added, you'll see a preview of it along with its Receipt date and Receipt number, both of which can be edited if needed. If no receipt has been added yet, click Add a receipt to upload one. See our Receipt View article for more detail.
Accounting export details
Before a transaction can be exported, you can add the relevant accounting information, such as:
Category – the spend category for the transaction.
VAT – the applicable VAT rate.
Project and Team – any additional cost allocation fields set up for your organisation.
If a transaction covers more than one VAT rate or cost allocation, use Split transaction to divide it into multiple entries.
